2023 Vendor Rules & Regulations
By submitting an application to reserve a vendor booth space you are certifying that you have read and reviewed this document in its entirety and agree to abide by the rules and regulations therein.
We must limit the number of vendors selling or advertising like items. Feel free to check the Vendor Directory on our website to view those who have already reserved a space. We reserve the right to refuse your application and refund your payment.
Application and payment must be received by July 15, 2023 to be included on the website Vendor Directory and on the printed Vendor Map. Applications and payments will be accepted until the event, as space allows, without advertising opportunities.
Cancellations after July 15, 2023 are not eligible for a refund.
Vendor booth spaces will be assigned based on the best layout of the festival. We cannot guarantee that any booth holder will be assigned the space requested, although returning vendors may be given special consideration on request if possible.
Vendors must stay open for the following hours:
Thursday, August 3, 5:00 pm – 10:00 pm
Friday, August 4 and Saturday August 5, 9:00am – 10:00pm
Vendors are encouraged to open earlier or stay open later, as business allows.
Check the Events Schedule to know when events begin and end.
Check-in and set-up will be on Thursday. 12:00 - 2:00pm for Trailer Vendors
02:00 - 4:00pm for Tent Vendors
Teardown may start no earlier than 11:00 pm on Saturday night. No vehicles will be allowed on the streets for teardown until 12:00am and ONLY when the streets are cleared of fairgoers and the Vendor Chairperson deems it to be safe.
General Rules are as follows:
Limit of 2 booth spaces per Vendor unless otherwise approved by Vendor Chairperson. Each booth space reserved must be filled with product or activity, no booth spaces may remain empty or near empty. If booth spaces are not occupied by 4pm on Thursday the space will be filled at the Vendor Coordinators discretion, unless previously discussed and agreed upon.
Be courteous of other vendors during set-up and teardown and allow them room as well.
All vendor vehicles will be moved outside of the barricaded area by 4:30 pm Thursday and will not be allowed inside the barricaded area during festival hours. You may not put any kind of stakes in the streets or sidewalks.
No vehicles, UTVs or golf carts are allowed to be driven inside the barricades once the fair is open to the public except by fair committee members, trash service, security personnel or emergency services. If you must pull a vehicle in to load or unload a product it must be prior to 7am or after midnight each day and ONLY if the street is clear of fairgoers.
Be respectful of fairgoers still in attendance and other vendors still open during teardown.
Booths and vehicles must be removed completely by 1:00 am Sunday to allow the clean up crews to begin promptly.
We provide the space only; we do not provide tents, tables, chairs, etc.
We are not responsible for items left within booth spaces overnight.
The size of each booth space is set at 12’ X 12’ or 12’ X 24’. You will not be allowed to encroach in the neighboring vendor's space. If you need additional room you will be charged for a larger booth and be moved to an available space, based on availability.
110V electrical service will be provided within a reasonable distance of each booth. You are responsible for your own surge protectors and extension cords.
You must only sell items or hand out flyers within your booth space. No soliciting outside of your space, in the street or otherwise. If you are found doing so, you will not be allowed back the following year.
We are limiting vendors whose sole business model is soliciting. We reserve the right to deny applications and refund vendor fees for these vendors.
Vendors will not be allowed to sell or display items that are deemed to be offensive, obscene, dangerous, illegal, or divisive. This will be at the discretion of fair committee members.
No microphones, bullhorns, loudspeakers, or any other amplification of sound will be allowed.
Any music or projections of sound must be contained within the booth and not be able to be heard outside 10’ of the booth unless approved by festival officials.
All booth spaces are subject to inspection by fair committee members at set-up or during the festival.
There will be no animals allowed during the festival within the booths unless approved for shows or entertainment, with the exception of specially trained service animals.
Food and Activity vendors are required to provide a copy of current General Liability Insurance policy prior to setting up.
Food and drink vendors are responsible for obtaining a Lafayette County Health Department Temporary Food Permit. You are expected to comply with all rules and regulations of a health inspection. Renters using an open flame or any cooking equipment must furnish their booths with an all-purpose dry chemical fire extinguisher with at least a 2-A 10 BC rating. All ground surfaces utilized by vendors must be protected from grease or oil. The vendor is responsible for all grease and oil cleanup and removal from the festival area. Wastewater must be in containers and removed from the festival area by the vendor.
Your trash MUST be taken to the designated vendor dumpsters. You are NOT allowed to place your bags of trash in or next to the trash cans within the fair boundary. At check in you will be given a map showing the location of several dumpsters to choose from. You are not allowed to leave trash behind after teardown. If you are found to have done this, you will be charged an additional $25 trash service fee prior to application acceptance in future years.
Violation of these rules and regulations may result in immediate closure of booth space, removal from fairgrounds and denial of participation in future festivals.
